Lead automation: from contact form to CRM
Lead automation starts with reliable receipt and clear ownership. Your contact form, email and CRM should describe the same enquiry throughout the sales process. When setting up that system, I define the successful journey first, then what happens when submission, notification or integration fails.
Map the process before choosing tools
A practical starting flow is received, assigned, contacted, qualified, proposal sent and closed. The closing status distinguishes agreed work from a lost enquiry. For each step, define an owner and the evidence that the action actually happened. A small business can begin with a simple shared register.
Consider an illustrative service business: the owner receives a website enquiry, but a colleague handles replies. With email alone, both may assume the other has responded. An assigned owner and a recorded next step provide more clarity than adding another notification in another tool.
Separate accepting an enquiry from delivering a notification
The website confirmation should follow successful acceptance into the intended system. An email notification is a separate step. If email is delayed, an accepted enquiry should remain available to its owner. I therefore check both the stored enquiry and actual notification receipt, rather than just the thank-you message.
Use a stable enquiry identifier for retries so a connection failure does not create several copies. Record failures and provide a controlled retry or manual recovery. Retain the information needed to diagnose the problem; the private message does not need to appear in every technical log.
Automate routine work and set limits for AI
Automation can assign enquiries by service or language, create a task and remind the team about unhandled requests. Match response commitments to real capacity. An automatic acknowledgement should not promise availability, pricing or completed work that nobody has checked.
An AI assistant can suggest a category and a short summary for the person replying. Keep the original enquiry available and route ambiguous cases to a person. Initially, I would require review before sending a proposal. A model's suggestion is not approval to change a price or commit the business to work.
Connect analytics with the real enquiry status
An email click, received enquiry and won project mean different things. Send analytics events defined in your measurement plan without names, phone numbers or message contents. Contact details belong in the enquiry handling system with appropriate access. Record campaign sources consistently and respect the site's existing analytics choice.
Track unanswered enquiries, qualified opportunities and progression to proposals or agreed work. A cheap lead is not good value when it does not match your service. Distinguish an integration failure from a sales outcome: a technically accepted request can later be declined for a business reason.
Test interruptions and assign a process owner
Before launch, test invalid forms, successful submissions, double clicks, CRM downtime and failed email delivery. Use labelled test enquiries and controlled contact details. For each scenario, record where the enquiry ended up, whether the visitor saw the correct message and who is responsible for recovery.
Finally, assign someone to review unhandled enquiries and errors regularly. Set access and retention according to the purpose and the business's obligations. A useful process does not depend on someone remembering to inspect three inboxes. Its value is a visible, verifiable next step.
Checklist
- Every enquiry has an identifier, status and owner.
- Enquiry receipt and email delivery are checked separately.
- Duplicate submissions and integration failures have defined outcomes.
- A person reviews AI suggestions that affect proposals or commitments.
- Analytics does not receive personal contact details.
Do I need a large CRM immediately?
No. Start with something the team can use consistently: a shared register, an enquiry owner, status and next step. Choose a CRM when the existing process reveals a concrete limitation, such as multiple salespeople, complex follow-up or required integrations.
Would you like your system reviewed?
Send your website address and a short description of the problem. We will agree the scope of a campaign, analytics or sales journey review.
